Remembering to manually open a note and hit record when jumping into back-to-back calls is difficult. Oyma includes an intelligent, privacy-preserving meeting app detector that recognizes when a video conference begins on your Mac and offers to start taking notes with a single keyboard shortcut.

Meeting detection operates entirely locally through macOS CoreAudio subsystems, without running invasive screen capture or monitoring background keystrokes.

How meeting detection works under the hood

Unlike cloud recording bots that must be invited to calendar invites or join calls as intrusive extra participants, Oyma operates entirely on your Mac through native macOS system APIs:

  1. CoreAudio event listener: Oyma registers a lightweight listener with Apple’s CoreAudio framework. When a communication application opens an active two-way audio stream (using microphone input and speaker output simultaneously), macOS notifies Oyma.
  2. Zero polling overhead: Because the mechanism is completely event-driven, Oyma sits idle at virtually 0.0% CPU usage until a call actually begins.
  3. No screen scraping: Detection never reads pixels off your monitor or scans your browser history. It only notices that an audio stream matching a supported app has started playing.

The meeting detection prompt workflow

When an active call begins, Oyma provides a seamless entry flow:

  1. Unobtrusive prompt: A lightweight notification banner appears in the corner of your screen (or above the editor window):

    “Zoom meeting detected: Q4 Product Strategy. Start taking notes?”

  2. Instant keyboard trigger:
    • Press Enter (or click Start) to begin recording immediately.
    • Press Esc to dismiss the prompt without recording.
  3. Automatic note scaffolding: Oyma immediately:
    • Creates a new note in your vault titled with today’s date and the call topic.
    • Pre-populates frontmatter metadata (date, time, attendees, meeting URL).
    • Initializes the dual-track audio recorder in the dock.

Matching attendees from macOS Calendar

To eliminate manual data entry, Oyma can optionally integrate with your local macOS Calendar via Apple’s native EventKit framework:

Enabling calendar matching

  1. Open Settings (⌘,) → Meetings.
  2. Under Calendar integration, toggle Read macOS Calendar events.
  3. macOS displays a system permission dialog asking whether to grant calendar access to Oyma. Click Allow.

Privacy boundaries and data protection

  • Local only: Calendar data is queried directly from local SQLite databases on your Mac. It is never uploaded or synced to external servers.
  • Narrow time window: Oyma only queries events scheduled within a 15-minute window of the current time.
  • Frontmatter population: When a matching event is identified, Oyma extracts the meeting title and participant list:

Customizing detection behavior

In Settings → Meetings, you can customize detection rules to fit your workday:

  • Quiet hours: Silence meeting prompts outside working hours (e.g., disable prompts after 6:00 PM and on weekends).
  • App-specific rules: Disable detection for personal applications (e.g., ignore Discord gaming sessions while keeping Zoom and Meet active).
  • Auto-record trusted meetings: For recurring 1-on-1s or standups, configure Oyma to automatically begin recording system audio without requiring a confirmation click.
  • Snooze detection: If you are in a casual call that does not require notes, right-click the status bar icon and choose Snooze detection for 1 hour.

Which meeting apps can Oyma detect automatically?

Oyma detects 8 major conferencing platforms: Zoom, Google Meet (via browser tabs), Microsoft Teams, Webex, Slack huddles, Discord, Around, and Whereby.

Does meeting detection require screen recording permissions?

Meeting detection uses CoreAudio process monitoring to detect active call audio streams. Capturing system audio once you choose to record requires macOS 14.2+ Screen & System Audio Recording permissions.

Does Oyma read my entire calendar?

No. Calendar access is completely optional. If enabled, Oyma queries macOS Calendar only when a meeting begins to match the current event title and attendee names, inserting them into note frontmatter.

Can I snooze or disable meeting detection prompts?

Yes. You can snooze prompts for 1 hour, silence detection for specific apps, or turn off automatic detection entirely in Settings.

Does background meeting detection drain battery life?

No. Detection relies on event-driven CoreAudio notifications rather than aggressive polling loops, consuming less than 0.1% CPU when idle in the background.
